Before wrapping up 2023 and preparing to enjoy the winter break, please take note of the following important reminders:
- Have you had a change in your tax filing status this year? If so, you may need to change your withholding. Please use the attached Federal and/or State W4 form(s) and return the completed, signed form(s) to the payroll office. You are encouraged to consult with your tax preparer for advice on whether you need to make a change to your withholding; we cannot provide tax advice.
- For those employees with an FSA (flexible spending account), HRA (health reimbursement account) and/or Dependent Care Reimbursement Account(s), you have 60 days after the end of the calendar year or the date in which you are no longer enrolled in the plan (whichever comes first) to submit eligible expenses incurred during the same year for reimbursement from either of these accounts. Funds remaining in the account(s) after the 60-day window will be forfeited in accordance with IRS rules. Funds remaining in an HSA (Health Savings Account), however, roll over from year to year.
- If you have recently moved, please be sure to change your information in the Employee Online portal (where you also check your payroll voucher) or submit a Change of Address form to the Human Resources Department.
- Your 2023 W2 form will be mailed to your home address on file no later than January 31, 2024; an incorrect address may significantly delay receipt of your tax information. Please update your address ASAP! Your W2 for 2023 as well as past years (from 2016 forward) will be posted to your Employee Online account no later than January 31, 2024 and can be downloaded and printed.
- The Affordable Care Act requires employers to provide employees with form 1095-C (Employer-Provided Health Insurance Offer and Coverage). This form will also be mailed to your home address no later than March 1, 2024. Please note this form is not required to file your tax return; it is informational and should be kept with your 2023 financial records.
- Medical premiums and HSA/FSA/dependent care deductions are not taken on the first pay in January; these deductions will resume on your check dated January 19, 2024. Health risk assessment and opt out credits will likewise resume on the check dated January 19.
